Join CSIRO as our Regional Fleet Support, you will provide administrative services to support the operations and activities of the Fleet Office and provide high quality and timely support services to CSIRO Business Units(BU) and local site fleet administrators. The National Fleet Office supports the administration of CSIRO’s large, diverse, and decentralised fleet comprising around 800 vehicles, via a national fleet network across 59 locations. 

Acting as our first point of contact for queries from Site Fleet Contacts and other CSIRO staff on fleet-related matters, you will provide consistent, accurate, up-to-date, and concise fleet information, advice and guidance on Fleet processes, procedures and policies relating to the CSIRO National Fleet network. Your duties will include:

  • Administer the Annual Renewal Program by implementing, updating and providing progress reports in accordance with established procedures.
  • Provide a point of contact for Regional fleet site contacts in all matters relating to fleet administration in the region. Respond to fleet-related queries from CSIRO staff and provide training where required.
  • Coordinate fleet lifecycle activities for business units including:
    • Report on and make recommendations on fleet utilisation and vehicle requirements in consultation with relevant stakeholders.
    • Identify and manage lease change requests and lease modifications (contract variations) through assessing utilisation and reviewing contract terms.
    • Action acquisition and disposal processes are followed and are in line with CSIRO procurement requirements.
    • Provide assistance to CSIRO business units with vehicle selection (fit for purpose) and value for money in terms of lease verse purchase verse ad-hoc hire for the region fleet.
  • Monitor, report and liaise with Business Unit contacts and/or Site Fleet contacts on upcoming vehicle lease end dates including decisions on renewal, replacement and return of vehicles at the end of lease. This will be undertaken in conjunction with and at the direction of the CBIS Coordinator, Service Delivery.
  • Coordinate activity required in the event of vehicle incidents, accidents and safety recalls including liaising with CSIRO staff, third party contractors, suppliers and repairers, CSIROs Insurance and Safety teams.
  • Undertake a range of fleet administration tasks including managing fuel cards, monitoring and responding to fleet enquiries, monitoring trip acquittals and vehicle servicing schedules, installation of IVMS devices and other tasks associated with maintaining data, managing vehicle registrations and service records.
  • Undertake project work as allocated by the CBIS Coordinator, Service Delivery

Location: Open to all States and Territories within Australia 
Salary: AU$68,148 - AU$86,733 plus up to 15.4% superannuation

  • Demonstrated experience and a willingness to undertake a range of general administrative support tasks in a decentralised office environment.
  • Proven ability to demonstrate initiative, actively contribute as a team member and share relevant and useful information.
  • Sound keyboard skills, knowledge of Microsoft Office applications and the ability to become familiar with use of fleet management software and systems.
  • Holding a current driver’s licence as interstate and locate travel may be required.

Desirable

  • Demonstrated experience working in administration.
  • Knowledge or experience of fleet management or similar industry.
